Tax notices

use case tax notices
A successful digital tax strategy involves automating processes and using AI-based models. This is particularly true for international companies and complex groups that continue to receive unstructured data, such as tax notices like trade tax notices, from tax authorities. Processing this data in subsequent steps requires it to be manually transferred to other IT systems, such as DATEV or SAGE. With the tax assessment use case, CAPTOS uses AI models that have already been trained and fine-tuned to make this unstructured data automatically available to users and applications. This built-in use case can also be supplemented with specific requirements and fine-tuned as necessary. Important data such as due dates or tax amounts can thus be extracted and validated automatically. CAPTOS's integrated bot engine or predefined connectors can be used to further extend the automation process.
Meter readings

CAPTOS - Meter readings
Nowadays, meter readings are usually collected using smart meters or apps and transferred to energy providers via portals. However, customers still report meter readings to the utility by email at the end or in the middle of a billing period. Recognising and classifying the emails as meter reading reports, as well as recording relevant data such as counter readings, name, customer number and address in other systems, is often done manually. CAPTOS's integrated "automatic classification" feature categorises emails and extracts relevant data with the help of a built-in use case, making it available to users and applications. This enables the capture process to be almost fully automated, streamlining it and improving customer and employee satisfaction.

CAPTOS - Invoices
Recognising invoices and similar documents, such as order confirmations and customs documents, is a classic use case that has already been automated by many companies. However, extraction accuracy is often lower than expected due to various factors, such as changes in invoice format or the inclusion of complex tables in invoices. CAPTOS's built-in Invoices use case, which has 38 predefined data categories (such as invoice number and invoice date), can recognise any invoice format and invoice-like document and provide accurate data. The business logic required to process these documents, such as notifications, validations and approvals, can be added individually to the workflow as needed. As with all built-in use cases, CAPTOS offers a number of options to further refine the use case, or to use the trained use case model as an overarching model for other custom use cases.
Pre-supplier invoices

CAPTOS - Pre-supplier invoices
Pre-supplier invoices, such as utility or electricity invoices for real estate, are special in some ways because of their structure and the amount of data they contain, which is often presented in tabular form. These documents cannot usually be processed like normal invoices. However, the built-in CAPTOS use case can automatically extract the data contained in these documents and make it available in other utility systems using CAPTOS RPA technology or standard connectors.
