Tax notices

use case tax notices
A successful digital tax strategy goes hand in hand with the automation of processes and the use of AI-based models. This is particularly true for international companies and complex groups of companies that continue receiving unstructured data in the form of tax notices, like trade tax notices, from tax authorities. The processing of this data in further process steps requires the manual transfer of this data to other IT systems such as DATEV. With the tax assessment use case, CAPTOS supports companies in making this unstructured data automatically available to users and applications with the help of AI-models that have already been trained. This built-in use case can also be supplemented with specific requirements, trained and fine-tuned as required. Important data such as due dates or tax amounts can thus be automatically extracted and validated. The bot engine integrated into CAPTOS or predefined connectors can be used to further extend the automation path.
Meter readings

CAPTOS - Meter readings
Today, meter readings are collected using smart meters, smart apps or via portals and transferred to energy providers. However, it still happens that customers report meter readings to the utility by email at the end or in the middle of a billing period. The recognition and classification of the emails as reports of meter readings as well as the recording of relevant data such as the readings of several meters as well as name, customer number and address in other systems is very often done manually. By using the "automatic classification" integrated into CAPTOS, the emails can be categorized and then the relevant data can be extracted with the help of the built-in use case and made available to the user and application. This allows the capture process to be almost completely automated, streamlining the process and improving both customer and employee satisfaction.

CAPTOS - Invoices
The recognition of invoices or invoice-like documents such as order confirmations or customs documents is a classic use case that is already automated in many companies. However, the accuracy of the extraction is often worse than expected due to various factors such as changes in the invoice format or the integration of complex tables (items) in the invoice. The built-in use case Invoices use case integrated in CAPTOS with 38 predefined classes (data categories such as invoice number, invoice date, etc.) can recognize any invoice format and invoice-like documents and provide their data with high accuracy. The business logic required to process these documents, such as notifications, validations and approvals, can be added individually in the workflow designer as needed. As with all built-in use cases, CAPTOS offers a number of options to further refine the use case or to use the trained model of the use case as an overarching model for other custom use cases.
Pre-supplier invoices

CAPTOS - Pre-supplier invoices
Pre-supplier invoices for utilities or electricity invoices for real estate are in some ways special because of their structure and the amount of data they contain, often in tabular form. These documents often cannot be processed like normal invoices. The CAPTOS built-in use case can automatically extract the data contained in these documents and make it available in other utility systems using CAPTOS RPA technology or standard connectors.
